Exact Online and AI coworkers: automation in the financial admin

What Exact does well, and what it doesn't

Exact Online and Exact Globe are strong administrative systems. The financial structure is right, the reporting is there, the connections to banks and payroll work. But what Exact doesn't do: automatically read supplier invoices, pull sales orders out of email, or link service tickets into the right projects. That stays manual work, often done by a small team working its way through the daily pile.

What we add

An AI coworker that works in Exact the way your team does. Intake on the mailboxes and portals you already use. Extraction of all the relevant data. Validation against Exact's master data, customers, suppliers, items, projects, GL accounts. And the final action: a purchase invoice that gets posted, a sales order that gets created, a project entry that gets recorded.

Everything happens inside the authorization structure you already have. The AI coworker gets its own user with explicit rights. What the AI coworker does is traceable per case, per document, per posting.

Typical processes in Exact

Invoice processing with PO matching. The AI coworker pulls an incoming purchase invoice from the mailbox, matches against the open purchase order in Exact, and posts to the right GL account and cost center. Exceptions, a price variance, a missing receipt, go to the right colleague with a proposal.

Order processing for wholesale. Customer orders arrive via email with PDF or via portal. The AI coworker extracts lines, checks customer pricing agreements and availability, and creates the sales order.

Project administration. Timesheets, material slips and subcontractor invoices get linked to projects in Exact. That removes manual entry and keeps the project admin more current.

Exact Globe versus Exact Online

Both variants work. For Exact Online we use the published APIs; for Exact Globe we work through the standard interfaces and, where needed, SQL objects. The functional integration is the same; the technical route differs.

What it delivers

For a typical Exact implementation: invoice posting time from four to six minutes each down to under thirty seconds, order cycle times in the same range, and matching rates above 90 percent with good scoping. More important than those numbers is the consistency: every case runs through the same process, with the same checks, with an audit trail available per case.
