Process automation for Dutch wholesale: where AI coworkers make the difference
In wholesale, volume isn't news. The real challenge is variation: hundreds of customers, thousands of items, dozens of formats. That's where an AI coworker shines.
Why wholesale is hard for generic tools
Dutch wholesale is under double pressure. Volume on one side: hundreds of orders a day, thousands of supplier invoices a month, dozens of customer variants in pricing agreements. Variation on the other: every customer has its preferred order format (email with PDF, EDI, portal, Excel, and occasionally a handwritten form), every supplier invoices just a little differently, and the product assortment keeps shifting.
Generic tools break on that variation. OCR products work on predictable templates; wholesale doesn't have predictable templates. RPA bots work on one channel; wholesale has four to six channels per process. That's exactly why many wholesalers still run into manual work after years of automation.
The four processes we start with most often
In wholesale there are four processes where the value is highest and implementation fastest:
- Order processing: inbound sales orders across all channels, validation against customer pricing agreements and stock, direct creation in the ERP.
- Invoice processing: three-way matching against purchase orders and receipts, including credit notes and price variances.
- Master data governance: new customers and vendors, with checks on duplicates, chamber-of-commerce, VAT and pricing agreements.
- Returns and credits: handling return notifications and building credit notes, including approvals at the right levels.
WMS and EDI integration
Alongside the ERP, integration with WMS and EDI systems is critical in wholesale. An order that lands in the ERP but doesn't reach the WMS doesn't ship. The AI coworker works with your existing WMS (Boltrics, Mendix-based setups, Bluecrux, Microlistics and custom builds) and the EDI message streams you already have. No new infrastructure; an agent that handles the translation between customer format and WMS instruction on its own.
Margin protection: where AI coworkers really earn their keep
Most wholesalers don't lose margin on price, they lose it on process: price variances on invoices that slip through, credit notes that run too generous, rebates that don't get reconciled. An AI coworker checks every invoice and every credit note proposal against contractual terms. That's exactly the kind of work that doesn't scale in Excel but hits your gross margin directly.
A typical engagement in wholesale
We start with one process and one customer segment: often order processing for the top 50 customers. A 1.5-hour Quick Scan to set volumes, formats and exceptions. Eight weeks to go-live, with the early weeks in watch mode. Within three months we scale to invoice processing and, in many cases, returns. Three in four of our wholesale customers come back inside the first year for a second and third process. Plan a Quick Scan to figure out where the biggest win sits for you.
